General information about the processing of personal information in the municipality of Kimitoön
The municipality of Kimitoön maintains several personal registers, which are needed to provide services in the various municipal departments. The registers contain personal data such as name, address, telephone number and electronic addresses. The registers have different levels of security depending on the quality of the data.
Each register contains only the information that is necessary for the service in question. Each register has its own person in charge. Access to the register is restricted to those municipal employees who need it for their work. The Municipality of Kimitoön has clear instructions for the use of personal data to avoid misuse.

The municipality of Kimitoön monitors the life cycle of personal data. Personal data is deleted, anonymised, pseudonymised or minimised when it is no longer needed. The municipality archives data for review and statistical purposes.

- Agreement
- Legal obligation of the person responsible for the personal data
- Protection of vital interests
- Information of public interest or public authority
- Legitimate interest of the registrar or third party
When the Municipality of Kimitoön collects personal data, it is often due to a legal obligation on the part of the registrar or information relating to the public interest or public authority. The reasons for collecting personal data meet different criteria for the data subject’s right of access to personal data.
In addition to the General Data Protection Regulation and data protection legislation, the processing of personal data by the municipality is governed by special legislation.
Disclosure of information
The data subject has the right to obtain confirmation as to whether or not the data are being processed and, to the extent possible, the right of access to the personal data.
The data subject shall have the right to require that the data be corrected and completed without unjustified delay.
The data subject has the right, if the criteria are met, to request that the data be restricted or deleted.

The municipality of Kimitoön is constantly developing technical solutions to meet the requirements of the Data Protection Regulation.

In the event of a breach, data leakage or other data protection risk to the registers maintained by the Municipality of Kimitoön, the Municipal Data Protection Officer must be informed immediately. If necessary, the Data Protection Officer will bring the matter to the attention of the supervisory authority within three days of the discovery of the event.
